How it works

How MyFuelHQ works

From supplier email to profit-per-gallon, in three steps.

  1. 1

    Forward your supplier emails

BOLs, invoices, and EFT payment notices are parsed automatically by AI — no manual data entry. Each delivery is matched to its invoice and payment, so you see what was delivered, what it cost, and what's still unpaid.

    • Three-way match: BOL → Invoice → EFT payment
    • No keying in gallon counts, rack prices, or draft amounts
    • Outstanding payments surface the moment a delivery isn't settled
  2. 2

    Connect your hardware

Veeder-Root tank gauges connect over the network directly or through the Station Hub, and your Gilbarco Passport POS syncs its sales. Tank levels, deliveries, and alarms flow in automatically, updated throughout the day.

    • Works with your existing Veeder-Root ATG and Passport POS
    • Direct network connection or via the Station Hub
    • Tank levels, deliveries, and alarms without walking outside
  3. 3

    See your profit every morning

Open the dashboard to your actual profit-per-gallon by grade, every day — cost from your real invoices, sales from your POS. Discrepancies between what the truck dropped and what you were billed get flagged.

    • Per-grade profit: Regular, Midgrade, and Premium
    • Cost from your invoices, not last month's estimate
    • Short or over-delivered drops flagged against the invoice
